Business Operations Manager Position Description

General Description

Under the supervision of the Company Owner or Company Owner’s Designee, the Business Operations Manager coordinates and oversees administrative duties and ensures the Office operates efficiently and smoothly through the management and interactions with office and production personnel, subcontractors, and vendors. 

Company Goals

  • Maintain Company goals as developed by leadership.

  • Provide a high level of client satisfaction at every point of contact throughout the life of the project.

  • Provide a positive and safe working atmosphere for all team members

General Responsibilities

  • Oversee and support all duties in the Office and ensure the Office is operating smoothly
  • Provide a high level of communication and interpersonal skills with clients to ensure satisfaction 
  • Managing overall team and office team meetings and participate in the daily huddle

  • Assist with managing Client selections to ensure they are completed in the dedicated time frame

  • Assist with social media

  • Prep contracts for trade contractors

  • Prep purchase orders for materials required for job sites

  • Manage safety through oversight of safety visits by insurance representatives and safety tips to team members

  • Manage trade contractor punch lists to ensure completion in a timely manner

  • Manage company inventory to ensure all materials required are ordered in a timely manner.

  • Prep all required information for job sites to ensure it’s ready as jobs start

  • Organize and manage “Parade of Homes” entries to represent our company at a high level

  • Register new client as they sign contracts for work

  • Register new Trade Contractor as we hire them for projects

  • Solve problems and make quick, accurate decisions; take responsibility for decisions.
  • Maintain a high degree of loyalty to the Company and motivate others to perform high quality work.
  • Provide other administrative support as necessary including conducting research and creating reports, additional tasks may apply.

  • Identify opportunities for process and office management improvements
  • Proficiency with Microsoft Office and Google products

  • Valid Drivers’ License

Quality Control

  • Maintain quality control standards and ensure their adherence.

Health and Safety

  • Responsible for work site job safety.

  • Monitor equipment and tools to ensure they meet safety requirements.

  • Monitor for compliance with OSHA and state safety guidelines.

  • Monitor for compliance with Company policy on drug and alcohol.

Client Satisfaction

  • Promote positive interactions with clients. 
  • Conduct client surveys and monitor for continual high-level client satisfaction.
  • Ensure proper protection of client privacy. 

Training

  • Execute training program as developed by the Company.

  • Contribute to training for self-improvement.

  • Instruct and train employees, subcontractors and others as needed.

  • Lead fellow employees by example.

Employee Goodwill

  • Promote teamwork and a positive working atmosphere at the company.

  • Spearhead planning and smoothly orchestrate company sponsored social team building events
